Senior Administrative Assistant (Coordinator) – Chief Financial Officer Organization

Position Summary:

The Senior Administrative Coordinator provides advanced-level administrative and operational support to senior management within the Chief Financial Officer (CFO) organization. This role instills confidence and trust by anticipating administrative needs, proactively addressing them, and ensuring smooth departmental operations. The position is responsible for creating administrative efficiencies, managing executive support functions, and coordinating projects to improve productivity and processes.

Key Responsibilities

Functional Expertise:

  • Provide comprehensive administrative support to senior management and their teams, including preparing and reviewing correspondence, reports, filings, and presentations.

  • Manage calendars, schedule internal and external meetings, and coordinate rescheduling to meet business priorities.

  • Maintain departmental dashboards and track deliverables to ensure timely completion.

  • Plan and coordinate logistics for meetings and special events, including venue arrangements, refreshments, audio-visual needs, and participant invitations.

  • Coordinate travel arrangements (air, hotel, ground transportation, restaurants) for executives.

  • Manage mail, office supplies, and invoice processing, handle time entry, and expense reconciliation.

  • Create and manage purchase orders, requisitions, and purchasing card activities; enter payment requests using Oracle Financials or equivalent systems.

  • Administer technology assignments and maintain filing systems.

  • Provide backup support to other administrative assistants as needed.

Business Acumen:

  • Serve as a resource for employees, providing guidance on company policies and procedures.

  • Handle confidential information with discretion and professionalism.

  • Anticipate issues and proactively identify solutions to support senior management.

  • Recommend and implement systems and processes to improve departmental efficiency.

  • Coordinate special projects and assist with implementation and tracking.

Engagement:

  • Lead or support special projects unique to the business unit.

  • Develop standard and ad hoc reports; analyze and summarize data for management decision-making.

  • Communicate process improvements and ensure adherence across affected teams.

  • Assess and manage administrative needs, providing exceptional customer service to internal stakeholders.

Driving Results:

  • Act as a liaison for inquiries; research, resolve, and respond with minimal supervision.

  • Monitor departmental needs to ensure adequate administrative and supply support.

  • Compile metrics and reports for key functions and deliver accurate, timely information.

  • Provide supplemental support during peak activity periods.

Qualifications

Education & Certifications:

  • Associate degree in Business, Office Administration, or related field required.

Experience:

  • Minimum of 5 years in an administrative or project coordination role.

  • Proven experience identifying and implementing process improvements.

Skills & Knowledge:

  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint, Teams, and Oracle Financials.

  • Strong organizational, prioritization, and multitasking skills.

  • Exceptional judgment, discretion, and ability to handle sensitive information.

  • Excellent written and verbal communication skills.

  • Ability to work independently and proactively in a fast-paced environment.

  • Strong interpersonal skills with the ability to interact effectively at all organizational levels, including executives and board members.

  • Keen attention to detail and a strong sense of responsibility in managing executive schedules and deliverables.

Working Conditions:

  • Primarily office-based; frequent computer use required.

  • Occasional travel for team events, meetings, and conferences (0–15%).

  • May require occasional after-hours support (5–10%).

  • Ability to lift to 10 pounds.
